A Small Business Success Story

“Success Follows an Emphasis on Quality” – Benson Green

benson greenWith his own pick-up truck and $800 that he borrowed from a family friend, Benson Green set out to start his own heating and air conditioning company. That was in 1981. Nearly three decades later, Green is president of Benson’s Heating and Air Conditioning, one of the most successful heating and air conditioning companies in the area as evidenced by the size of the company and the local awards it continues to win each year for customer service and notable business practices. When asked how he was able to grow his businesses from a one man operation to a company with over ninety employees, Green reflects on the two principal factors that he views as the foundation of his business. First and foremost he said, “All of us at Benson’s treat each other and our customer’s the way that we want to be treated. Believing in this philosophy is an important character quality we look for when we hire a new employee and it is something we constantly emphasize in all of our training and communicating.” Second and simply put, “Success follows an emphasis on quality,” said Green. He believes these factors are the foundation of his growing business and are the reason why most of his customers who believed in him back in the early 1980’s are still a part of his loyal customer base.

The Early Years

Benson Green has deep roots in the Tallahassee area. His grandfather Ray Green, Sr. was first, Florida’s Comptroller and then the president of a local community bank in Tallahassee. His father Ray Green, Jr. was director of the physical plant at Florida State University for over 30 years. Through one of his connections, Benson Green’s father helped him land a part-time job in the air conditioning business when he was only in 10th grade. “Once I started in the business, I loved it. I decided that rather than attend college, I would spend the years I would have spent in school learning this business,” said Green.  After he graduated from high school, Green worked for several different heating and air conditioning companies to learn the skills he would need to eventually open his own company.

shopIn 1981, Benson Green decided it was time to strike out on his own. To get started he made an appointment with his grandfather, who was then president of a bank. He explained what his goals were and asked for a $5,000 bank loan. His grandfather turned down his request. Still determined, Green, sat down with his Godfather, formed a business plan and borrowed $800, which he was able to pay back in a month.

After Benson’s Heating and Air began to prosper, Green’s grandfather and bank president told his grandson that he was proud of his success. Green recalls that his grandfather said, “see, you didn’t even need $5,000, you just thought that you did.”

The Early Marketing Strategy

During his first year working alone, Green recalls grossing about $60,000. One of the ways he was able to do this was by creating a very simple yet effective direct mail marketing letter. “I typed up a personal letter explaining the business I had started and then passed them out to my friends and relatives and asked for their help to personally give these letters to their friends and family,” said Green. From the original stack of 30 letters he passed out, he estimates that hundreds were copied and passed on. Looking back, Green believes this was the most memorable marketing campaign he has ever had because it capitalized on the relationships the Tallahassee native had. He is eternally grateful for the help he accepted from his family and friends when he was first starting out.

Company Work Ethic

officeSheer determination, the support of his friends and family, and a solid work ethic instilled in him by his parents propelled Benson’s Heating and Air Conditioning into the community as a viable option for consumers’ heating and air conditioning needs. Initially, Green focused only on repairs and service but soon thereafter he was able to offer replacement of air conditioning equipment in homes followed by new residential installations and then commercial new installations. As his customer base grew he knew his gamble had paid off. His business was going to be successful.

During his first year in business, Green was on-call 24 hours a day, seven days a week. He eagerly welcomed the first few employees he was able to hire after only a few short years in business. After that, “I started hiring five or six new employees a year,” Green said. As he looks back, Green said he has been fortunate to grow every year he’s been in business. Some years more rapidly than others, but through them all he has emphasized quality and customer service. “I believe if you give people what they deserve, then hopefully you will never have an unhappy customer,” he said. Green said he knows that “when we do a good job, our customer will tell 2 or 3 people and those people might tell 2 or 3 others. But when you do a bad job, that customer will tell 20 or 30 people.” To continually emphasize customer service and quality, Green bases his employee bonus system on these attributes and also has a 100% satisfaction guarantee policy for his customers.

Success

Benson Green said he believes success comes from hard work and thinking ahead. He attends training conferences and industry trade conventions to stay abreast of rapidly changing technology. “I focus on thinking of new products and services all the time because if we aren’t continually challenging ourselves we will become complacent and will not survive in this business,” said Green.  Most recently, he spoke at a National HVAC Convention where many participants complimented him on having the best presentation at the conference.

Over the years he has forged relationships with many local contractors, which has helped tremendously in the rapid growth of his company. Just a decade after starting out with just himself and his truck, Green built a 15,000 square foot building on Tower Road where his office and warehouse now stands. He believes that making a good first impression is key to giving his company credibility with a new customer. From the person who answers the phone to the comfort consultant who is dispatched out to assist a customer, Green emphasizes good communication skills, customer service and a neat and clean personal appearance to all of his employees.  “A first class attitude breeds a first class job. That’s why we have new trucks. I believe that if a person who works for me gets out of a clean new truck and he feels good because he’s wearing a clean new uniform shirt, he is going to do a first-class job,” said Green.

Today, with a fleet of 43 trucks, 90 employees and continued growth each year, Green looks back fondly on his early years.  “As I think back over the many seasons that have come and gone, I am amazed,” Green said.

Giving Back

benson greenOne of the greatest sources of satisfaction for Green is the ability his company now has to give back to the community that supported him and allowed his business to flourish. “Because of all that we’re able to achieve in our business here locally, its important for us to do our part to strengthen our community and positively impact the lives of the people here,” said Green. Benson’s donates thousands of dollars each year to many of the Tallahassee area’s charitable organizations and he encourages his employees to give back as well through donations or by volunteering their time.

Green also believes strongly in being a good steward of the environment. Going “green”, conducting business responsibly, and continually looking for ways to improve his corporate environmental impact are important to Green. One of the most creative ways Benson’s Heating and Air is giving back is though the “Benson’s Greenhouse Gas Offset Program.” Through the program, Green plants 2 long-leaf pine trees at a local forest preservation each time a new air conditioning system is installed in a home or business.

I recently purchased an air conditioning system from your company. I would like to take the opportunity to elaborate on this transaction. I have been a customer of Benson's Heating and Airconditioning for several years and have always had great service. My A/C was serviced in December 2010, June 2011 and again in July 2010. Lee Costa was the service repairman who came to assist me. He has always been cordial and acted in a professional manner. He even came out on a Saturday evening to assist me with the A/C problem. As fate would have it, in August during some of the hottest days our NC's compressor went out. I was told that it could be replaced for around $3,000 or I could invest in a new NC system that would include a new air handler for just a little more and it would have a guarantee for approximately 10 years. Lee called Rob Kuhn and told him of our delima. Rob came out to our home at approximately 6:00 PM the same day and sat down with us to discuss our choices of repair or purchase a new unit. He advised us of the pros and cons of various units, stating that we would need a certain size and the benefits of various options. Rob answered all my questions and made arrangements for us to have an air conditioner while our new unit was being ordered. I had occasion to call the office and inquire as to when the unit would be delivered and spoke with Amiee and Brandy. These two ladies were very cordial and helpful, as were Rob and Lee. Our new unit was delivered on time and installed expeditiously. I would like to commend you on having the best staff I believe I have ever dealt with. Everyone was helpful and concerned. The installers were very knowledgeable and worked very hard to get our new unit installed on time. Please relay our thanks to all of your staff.

Unfortunately in the service industry I would imagine compliments are few and far between. I wish this letter to be an exception. On the night of August 30, 2011 our home air conditioner (3073 Sawgrass Circle, Tallahassee, 32309) quit without explanation. After flipping switches and doing whatever else I could think of, I then of course called your company. My after-hours telephone call was answered promptly and professionally by the young lady on duty that evening, and she assured me she would have someone show up at our home later that evening. In my opinion we were extremely fortunate that your service technician Tyier (last name unknown) appeared. He checked out all portions of our system, quickly diagnosed the problem, and soon had wonderfully cool air pumping out of our system. A very nice relief for us! I talked with Tyler (hopefully not bothering him to much) while he was diagnosing and working on the system, learned that he has been a service technician with your company just a little longer than I have been a subscriber to your annual service, thus not only are you but I am certain all of your customers who come into contact with Tyler are extremely fortunate. He has an excellent demeanor, considering the circumstances of that evening he was extremely prompt, he exhibited honest courtesy, and my wife and I were extremely pleased with his excellent service. I just wanted you to know that we have always liked the services your company has provided to us, but felt a special commendation for Tyler was in order. And if there is any way possible, we would very much appreciate Tyler being assigned as our permanent Service Technician.

Dear Mr. Green: I have had another pleasant experience with Benson's Heating and Air Conditioning this week and feel the need to tell you about it. I was having trouble with my air conditioner and called for service on Monday. Aaron Daunt came Monday around 1:00 pm and listened to my tale of woe. I thought it was the thermometer that was the problem and he checked it out but wasn't convinced that was it. After checking it thoroughly, he felt he needed to check under the house. I know that was not exactly what he wanted to do on his last call of the day at 1:30 p.m. but he crawled under the house and found that the filter had not been changed since you installed the air conditioner. (My mistake) He changed the filter and also tried to fix a duct that had become unhooked. Needless to say, I was very open to his suggestion that I have yearly maintenance as I could tell I had been negligent. I was very impressed with his tenacity in finding the solution. But the frosting on the cake was when he called the next morning to see if it was still working okay. That was classy!!! I wrote to you after your company installed the furnace and AC and complimented the men that did the work and you and I had a conversation about your business goals in the yard when you came to check it out. I am happy to know that you are still hiring competent employees who are willing to do the job right and who are not just concerned about getting the job done as quickly as possible. Thank you for the continued good service and the only thing I know to do Is to pass along information about your company to other people (and I have many times) and to let you know about Aaron's superior work ethic. I wrote once before thanking you for your customer service and little did I know it would be the customer service that truly made the difference. I originally called for service on my air unit in the end of July or the beginning of August. I can no longer remember exactly as it has been at least 2 and a half months of trying to get my unit fixed. Benson brought us a space cooler to help us through the ordeal of no air in the middle of summer. They brought it right away and were courteous and professional. Our tech Robbie Robbins kept in touch week after week explaining a backordered part, a misunderstanding, and then the fact that the part was now unavailable, the part manufacturer went out of business and we may need a new unit. No matter the news everyone was very kind, very professional and went out of their way to help us through this difficult ordeal. We remained calm throughout, knowing it was out of Benson's hands and everyone was just doing their best. Then Robbie called with an update. The part arrived! Yes. Robbie came out immediately and put the part in. He was awesome. He was professional and we could tell he really cared. I am so thankful I called Benson's for this issue with our unit. Every step of the way over 2 and a half months Benson's took great care of us and made us feel like we were family. Thank you to Courtney for all the calls she took explaining and apologizing, while offering her diligent and relentless search for answers. After having a problem with dust and high utility bills, we decided to call Benson's Heating and Air for a healthy home checkup,just expecting to clean our old duct work. George Dunn came out to perform the test and explain his findings. He informed us our problem was much larger than just cleaning, our duct work needed to be replaced, we were actually breating in particles of insulation and the chemicals in which it is treated. Daniel Boyette and George came back a second time to discuss the options and cost of the needed repairs. Not only did they advise us of our needs they suggested ways in which we could get ready for such a job,recommending the carpenters and movers and storage that would be needed during the process. This is the second time we have used Benson Heating and AC to replace our HVAC system, and as usual we are thoroughly satisfied. Not to mention the quality of their work, the professionalism of the entire staff (office, technicians and salespeople) are top of the line. Our system was replaced in June 2010 and we are so happy with our new system. I definitely appreciate all the assistance with the paperwork - the office provides you with everything you need to file with the City to receive a rebate, and also what you need to file for your federal tax credit.
